AI PATIENT INTAKE · SOUTH AFRICA
Typed by the patient, not deciphered by your receptionist.
Send your patient a WhatsApp link. They answer a short set of questions in the app they already use — nothing to download, nothing to print. You open the dashboard and see a clinical summary, ICD-10 suggestions, and medical aid details before they sit down.
Cold-sensitive pain, lower right posterior, 2 weeks. No trauma. Now disturbing sleep.

You're covered
The three things every regulator-aware practitioner checks first — wired into the product, not bolted on as a marketing badge.
Every patient gives explicit, versioned consent before any health information is collected. Stored and timestamped with each intake — no clipboard, no ambiguity.
Every action on patient data writes to a tamper-evident, append-only log. POPIA §17 (documentation of processing) and §19 (security safeguards) aligned.
Personal health information is encrypted in transit and at rest. HPCSA Ethical Rule 5 retention is enforced automatically — no practitioner action required.
How It Works
Create an intake in the dashboard. A WhatsApp message fires instantly.
A short series of guided questions in the channel they already use. Done in a tap or two.
ICD-10 codes, risk flags, and medical aid details — before they walk in.
Cold-sensitive pain, lower right posterior, 2 weeks. No trauma. Now disturbing sleep.

Built Around Your Workflow
Patients complete intake entirely inside WhatsApp — or via web fallback if they prefer.
Designed for 1-tap completion
Each submission is processed into a clinical summary with ICD-10 code suggestions and risk flags — ready before the patient arrives.
ICD-10 code suggestions on every intake
Consent captured and versioned, every access audited, records retained for six years — the obligations POPIA and HPCSA put on your practice, carried by the software.
6-year HPCSA record retention, enforced automatically
Add your own questions to the intake form — text, yes/no, or number fields. Appears in both WhatsApp and the web fallback.
Works in both WhatsApp and web fallback
Patients or staff can attach referral letters, ID documents, and medical aid cards directly to the intake session.

Compliance
POPIA and HPCSA aren't a marketing badge here — they're wired through the product. Six things every regulator-aware practitioner asks about, answered plainly.
Every patient gives explicit consent before intake. Consent is versioned, and each version names every party with access to personal health information, including our data processor.
All personal health information is encrypted in transit and at rest, on managed Postgres and Vercel edge infrastructure.
Records are retained for 6 years in line with HPCSA Ethical Rule 5 and the National Health Act 14 of 2003. Enforced automatically — no practitioner action required.
Every action on patient data is written to a tamper-evident, append-only audit log. POPIA §17 (documentation of processing) and §19 (security safeguards) aligned.
Patients can request access to or deletion of their data. We handle the DSAR workflow end-to-end on Solo; Practice and above get self-serve DSAR tooling.
Patient data at rest is hosted in the EU (Ireland) on Supabase. WhatsApp intake is delivered via Twilio (US); AI processing via Anthropic (US) — both under POPIA cross-border safeguards. Data at rest stays in the EU. Every processor is disclosed in the consent flow and Privacy Notice.
Full Privacy Notice and DSAR procedure available on request — privacy@praxiva.co.za.
Competitive Edge
Your practice-management system is not in this table on purpose. GoodX, Elixir, Medemass — whichever one holds your patient records, Entriva fills it in rather than replacing it. On Network it writes there directly through the API. On every plan your receptionist keys from a screen laid out in the order your system asks for the fields, instead of from a clipboard.

Digital intake removes the friction that drives no-shows: forgotten forms, lost paperwork, last-minute drop-offs. Recover a handful of appointments a month — Entriva pays for itself and still puts money back into the practice.
Core intake automation for a single practice.
Modelled break-even: ~2 recovered no-shows/month

Roadmap
On our roadmap: branded patient communications (your logo and colours on patient-facing pages). Today every message names your practice; the logo and colour treatment are not built yet.

Built for practices where every no-show costs more
Roadmap
On our roadmap: branded patient communications (logo + colours), practice-domain white-labelling, scheduled regulator-ready POPIA reports, deeper clinical AI (treatment history + medical-aid pre-auth hints), and Healthbridge & MedEDI integration. Network practices get early-access priority when these ship.
Not seeing fewer no-shows in 30 days? We'll refund every cent — no questions asked.
How it works: free 14-day trial, first billed on day 15, then a 30-day refund window — your money-back guarantee runs through day 45.

FAQ
Every intake also has a web fallback link. If a patient can't use WhatsApp, they complete the same form in their browser — no app required. You get the same clinical summary either way.
Careful answer: under POPIA your practice is the responsible party and Entriva is your operator, so no software can make you compliant — it can only carry the obligations properly. Ours does: explicit consent captured and versioned per patient, all personal health information encrypted in transit and at rest, every access written to an append-only audit log, and records retained for 6 years in line with HPCSA Ethical Rule 5. Every processor we use is named in the consent flow and the Privacy Notice, and there is a signed Operator Agreement setting out who is accountable for what.
No. Patients complete the entire intake form inside WhatsApp — the app they already have. No download, no login, no friction.
Setup is fast — usually one session, not a project. Add your practice details, configure your intake questions, and you're ready to send your first intake link.
Not as a one-click connector — most South African practice systems in this tier have no API to connect to. What Network plans get today is a documented REST API with keys you issue yourself: your own system, a Zapier or Make scenario, or your IT contractor can pull completed intakes into your patient records and create new intakes when you book an appointment. Named Healthbridge and MedEDI integrations are still on our roadmap — tell us if scheme or billing integration is a buying criterion for your practice.
Yes. Practice and Network plans include custom intake questions — text, yes/no, or number fields — that appear in both the WhatsApp flow and the web fallback.
Full access to the Practice plan for 14 days. No credit card required. You only pay if you choose to continue after the trial.
Your 8am patient fills in their history at 7:50am. You open Entriva at 7:59am. You already know it's a cold-sensitive lower right molar, two weeks, now waking them at night. That's the product.
